How to apply for student housing

A room in an Austrian student dorm (Studentenheim) is not allocated by lottery or by deadline — most providers hand out rooms on a rolling basis, as long as they have free beds. That sounds relaxed, but it means the opposite: the good, affordable rooms go to whoever applied first. Demand peaks hard for the October (winter semester) intake, and the City of Vienna openly warns that "many halls of residence are already fully occupied a few weeks before the term starts." Apply early, apply to several providers, and you will almost always have a place by the time you land.

Apply to more than one provider

There is no central waiting list — each provider runs its own. Registering with several at once costs nothing and is the single best way to beat the October crunch. When you accept one offer, decline the others quickly so the room frees up for someone behind you.

Applying for the March (summer) intake is usually easier — fewer students start mid-year, so more rooms are open — but the rolling, first-come logic still applies.

The deposit (Kaution), fees, and what you pay

Almost every dorm asks for a refundable security deposit, called the Kaution. At OeAD student housing the deposit is €350 (valid from 1 September 2026), and it can be higher in some buildings — your exact figure is stated in your offer. Across private providers, deposits commonly run from one to a few months' rent; treat "varies by provider" as the rule and read your offer.

The deposit is your money held as security. OeAD pays it back within about six weeks of move-out, after deducting any unpaid charges or damage. On top of the deposit, some providers add small recurring or one-off fees — OeAD, for example, charges a €24 administration fee per booked month in addition to the monthly rent. Applications themselves are normally free; you only pay once you accept.

Never pay before you have a real offer

A legitimate provider sends a binding written offer through its own portal before any money changes hands, and the deposit is held as security — not pocketed. You can usually register your interest before your admission is finalised, but a binding offer and move-in generally require proof you are (or will be) a student. Have a clean PDF of each document ready so you can upload the moment a portal asks.

Contract length and notice

Dorm contracts are short and student-friendly compared with the private market. OeAD contracts run for a maximum of 16 months, with a typical minimum of one semester. Notice periods and end dates are fixed by calendar: at OeAD, for most cities you give notice by 31 December to leave at the end of February, or by 30 April to leave on 30 June (dates differ slightly by location, e.g. Graz and Leoben). Cancelling before your contract starts is also tiered — cancel more than two months out and you typically lose only the booking fee; cancel inside the final month and you can forfeit the deposit. Always check the specific provider's terms before you sign.

If you don't get a place in time

It happens, especially for a late October application. You have options:

Get onto every provider's waiting list — rooms free up through September as offers are declined
Check providers' 'vacancy' or short-notice pages, which list rooms available right now
Book a temporary base first: a short-term student hostel, sublet (Untermiete), or a few weeks of Airbnb, then move to a dorm when a place opens
Ask your university's housing or international office — many keep emergency or partner-room lists
Watch verified shared-flat (WG) listings, but vet every one against the scam checklist

A temporary room still needs a Meldezettel

Even a short-term sublet or hostel where you officially live must be registered. You have 3 days from moving in to register your Meldezettel at the local registration office, and you re-register each time you change address.
